Privacy Policy

In short: we store the records you enter so the app can work. We do not sell your data or your tenants' data, and we do not use it for advertising. We share it only with the providers needed to run the service — email, push notifications and hosting.
1. Who is responsible for your information
RentTrack PNG is operated by JMK IT Solutions. Contact: contact@jmkits.net.
There are two different relationships to be aware of:
- For your own account information (your name, email, login, subscription) we decide how it is used, and this policy applies directly.
- For information a landlord records about a tenant, the landlord decides what is collected and why. We store and process it on the landlord's behalf. If you are a tenant and want your details corrected or removed, contact your landlord first — we can also help if you cannot reach them.
2. What we collect
Account information
- Name, email address, phone number and optional profile picture.
- Your password, stored only as a secure one-way hash — we never see or store it in readable form.
Records entered by landlords
- Business details used on invoices: business name, address, TIN and bank account details.
- Properties and units.
- Tenant details: name, email, phone, emergency contact and, if the landlord chooses to record them, identification type, identification number and a photograph of an identification document.
- Leases: rent, payment frequency, due day, bond and dates.
- Payments: amounts, dates, method, notes, and any receipt or proof-of-payment file uploaded.
- Disputes raised by tenants and the landlord's responses.
Technical information
- A device token if you enable push notifications in the Android app, so we can send alerts to that device.
- Standard server and security logs, including IP address and time of access.
- A session cookie to keep you signed in. We do not use advertising or tracking cookies.
Subscription payments
- Subscriptions are paid by direct bank transfer. We store the transfer receipt you upload so an administrator can verify it, along with the amount and the period it covers.
- We do not collect or store card details, because card payment is not currently offered. If we add it in future, this policy will be updated before it goes live.
3. Why we use it
- To operate the Service: recording tenancies, generating invoices and receipts, and tracking payments.
- To send transactional messages — rent invoices, payment receipts, overdue reminders, dispute updates and account notices.
- To manage subscriptions and process payments.
- To keep the Service secure, investigate misuse, and diagnose faults.
- To respond to your support enquiries.
We do not sell personal information, and we do not use it for advertising or profiling.
4. Who we share it with
We share information only with providers that are necessary to run the Service:

We may also disclose information where required by law, or to establish or defend a legal claim.
5. Where your information is stored
The Service is hosted on cloud infrastructure located in the Asia Pacific region (Singapore), and some of our providers (for example email and push notifications) operate internationally. This means information you enter may be stored or processed outside Papua New Guinea. We choose established providers and rely on their contractual and technical safeguards to protect it.
6. How we protect it
- All traffic between your device and the Service is encrypted in transit (HTTPS).
- Passwords are stored as salted one-way hashes and cannot be read by us.
- Access is restricted by role — a landlord can see only their own properties, tenants and payments, and a tenant can see only their own records.
- No payment card details are held on our systems — subscriptions are settled by bank transfer.
No online service can be guaranteed completely secure. Please use a strong, unique password and tell us promptly if you suspect unauthorised access.
7. How long we keep it
We keep records for as long as your account is active, and afterwards only where needed for legitimate business or legal reasons — for example, to resolve a dispute, or to meet financial record-keeping obligations. Tenancy and payment records often need to be retained for several years after a tenancy ends. When information is no longer needed it is deleted or anonymised.
8. Your choices and rights
- Access and correction — you can view and edit your profile in the app, and request a copy of the information we hold about you.
- Deletion — you can ask us to delete your account and associated records, subject to the retention periods above.
- Notifications — you can turn off push notifications in your device settings. Transactional emails such as rent invoices are part of the Service; if you are a tenant and wish to stop receiving them, speak to your landlord, who controls that setting on the lease.
To make a request, email contact@jmkits.net from the address on your account. If you are a tenant, please contact your landlord first, as they control the records about your tenancy.
9. Children
The Service is intended for use by adults managing or party to a tenancy. It is not directed at children, and we do not knowingly create accounts for them.
10. Changes to this policy
We may update this policy as the Service develops or as the law requires. The "last updated" date above will change, and we will notify you in the app or by email if the change is significant.
